Let’s Talk Shop – Starting a Small Business in North America

In the late summer of 2010, two of my closest friends – one of whom is an experienced tattoo artist – approached me with the idea of starting a business together, a tattoo parlor to be specific. Fast forward to now, I am a proud part-owner of Black Rabbit Tattoo Studio in the suburb of Vancouver, Canada. Our two full-time tattoo/piercing artists and three receptionists provide a range of tattooing and piercing services for our enthusiastic clients five days a week. This article will be a short personal account on the process of starting a small business in which I will share some key lessons learned from the research, preparation and experience leading up to the opening of the shop.

Research

Research lays the foundation for understanding the business-to-be. Like researching for anything else, the internet provides a wealth of resource for basic and introductory information on all aspects of small business. The key, however, is to seek details and specifics. Small and medium-sized businesses are the lifeline of a healthy economy, and municipal and provincial governments realize that. Consequently, there are numerous governmental and semi-governmental resources available to help nurture and grow SME’s. In British Columbia, Small Business BC and OneStop BC Business Registry are just couple of many available resources at our disposal. I called, emailed and personally visited resources like Small Business BC, WorkSafe BC, and Canada Revenue Agency (CRA), as well as various municipalities, insurance companies and others to find out the specifics about tax rates, fees, insurance, business licensing, and other relevant information. (The process of starting a small business in the US is largely similar to Canada, but with notable variations in tax codes and local/regional legal obligations. For more information on the US, see http://www.sba.gov/.) Moreover, it is incredibly helpful to seek and network with experienced individuals. From conversations with friends and associates who are Certified Management Accountants, Certified General Accountants, local small business owners, and lawyers, we gained valuable insights and knowledge on opening and running a new business.

Writing the Business Plan

The preparation of the business plan is another crucial step in starting a small business. Typically, the business plan serves an important role in obtaining bank loans and, depending on the nature of the business, office/retail leases for new small businesses. In our case, we were able to self-finance our project. That said, the preparation of our business plan was a major factor to our initial success. Although there are professionals who provide business plan writing services, this process is key in preparing budding entrepreneurs in knowing the ins-and-outs of the entire business. From researching and writing the business plan ourselves, we not only calculated and familiarized ourselves with detailed and specifics numbers, data and projections regarding our financial preparation, we also identified deficiencies and flaws in our business model along the way. This enabled us to make the needed adjustments and changes for achieving success with our bourgeoning business. In preparing the business plan, we also had to research our competitors and the industry in general. This was also a reflective process in which we delved into how to differentiate ourselves from our competitors and standout in the industry. Business plan writing is also an important collaborative process. It served as a forum for the business partners to develop and clarify a shared vision for our collective endeavor.

Location

Location, location, location – its importance cannot be stressed enough. For retail and service-oriented businesses, the significance of the physical location is obvious. The choice of municipality, however, is just as important if not more in locating one’s new business. There are a few reasons for this. Firstly, municipalities have varying degrees of business-friendliness. Aside from different amounts of annual business license fees and commercial property tax, city bylaws also reflect a municipality eagerness to attract and facilitate businesses operating in their jurisdiction. For example, one of the four cities we considered notably restricted tattoo parlors from establishing and operating with its stringent zoning laws and officially categorizing tattoo parlors as “undesired businesses” along with the likes of pawn shops, adult entertainment businesses, and scrap metal dealers.
Secondly, the efficiency of the city in swiftly accommodating the needs of businesses is another factor. For new businesses, the efficiency of the inspection process makes a huge difference. From our conversations with other local small business owners and tradespeople, we learned that certain cities take a much longer time in processes various applications and paperwork than others. Moreover, the willingness to help businesses also differs. For example, the building inspectors of one particular city we considered are notoriously counter-productive, often failing inspections without specifying the exact changes they are looking for. The choice of municipality not only directly influences a new business’ starting budget, but also the timeframe in which it can start operating.

Putting the Plan into Action

Once all is ready and the wheels are in motion, there will be a highly stressful period where it seems everything is happening at once. I will breakdown the key elements of this period in the following section.

Licenses and fees: In Canada, one has to register a new business at the federal/provincial level with the CRA for tax purposes. It is a fairly quick and painless process for the initial registration. A municipal business license is also needed for operating, and it depends on passing all the required inspections.

Accounting: Life as a new small business owner can be made much easier with a reliable and trusted accountant. We were able to find one through networking and our accountant helped us setup the business tax accounts with the CRA, work insurance with WorkSafe BC, as well as assisting us with the financial and tax planning.

Banking: Upon obtaining a federal/provincial business license, the bank is where a new business can establish a bank account, business credit card, point-of-sale (POS) machines and business loan (if necessary). Comparatively, this is a fairly easy process as the banking industry is highly competitive. However, this is one aspect where one’s diligence in research and preparation pays off in selecting what is best for the new business.

Physical Location: Upon finding the ideal location for your business, it is important to avoid rushing into signing a lease. Despite of the need for establishing a place of business for banking, tax and other purposes, it is important to scrutinize the real estate, the building and its surrounding neighborhood. For buildings with multiple tenants and/or mixed commercial and residential uses, the building’s governing board and bylaws are also influential factors. Real estate agents serve an important role in weeding out problematic locations.
Renovation of one’s new place of business is typically one of the largest initial investments for a new business. It is absolute crucial to budget the renovation costs wisely and have a significant contingency fund allocated for rainy days. Moreover, it is absolutely crucial to respect and go through the tedious inspection process. During our renovation and inspection process, we did not foresee and plan for a new change in plumbing requirements to set up a tattoo parlor. Despite the large unexpected cost in fulfilling the new plumbing requirement, the foresight of having a contingency fund of 6 months’ worth of operating costs came in handy. While painstakingly working with the inspectors, we not only passed all the inspections in a timely manner, but also built a good rapport with the municipal government workers.

Legal Matters: This can be one of the more expensive aspects in the process of starting a small business. However, due diligence is needed before signing a lease and establishing a legal relationship between the employer and employees through employee agreements. The importance of legal protection in general cannot be overstated. In our case, prior networking and relationship-building paid off here as we were able to save lots of money by hiring a lawyer who also happens to be loyal client to my tattooing business partner.

Before the Opening: Hiring, setting up a system of protocols and training new employees are some of the last details to work out before the grand opening. It may not be feasible to expect everything and everyone to be perfectly ready before the grand opening as it is new for everyone involved. A new entrepreneur should try to foresee and prevent major problems before operating but also be mentally prepared and responsive to work out the small kinks after the business starts operating.

Fast forward to the present, I am proud to say that our shop, Black Rabbit Tattoo Studio, has been creating beautiful art for satisfied clients since July 2011. One cannot foresee all the hurdles and challenges involved in starting a small business, but striving “to be prepared is half the victory.” Like anywhere else, the experience of starting a small business in Canada is stressful and laborious, but so are the rewards that come from thorough preparation.

事前研究
要创业,研究肯定是基础。如同其他的研究,互联网为创业所需要的各方面提供了丰富的入门级资料。然而,在这其中最重要的还是要抓住细节和关键点。小型和中小型企业是一个健康的经济体的命脉。因此,总会存在许多的政府及半政府的可用资源,来帮助培育和壮大中小企业。

业务计划的编制显然也是一个关键的步骤。通常情况下,商业计划书能提供重要作用,比如根据新的小企业业务,办公室/零售租赁的性质的不同,在取得银行贷款方面肯定就是有差别的。在我们的例子中,我们能够自我融资项目。总的来说,商业计划书的编制是我们取得成功的一个主要因素。虽然有专业人士提供商业计划书编写服务,但其实这个过程是准备崭露头角的企业家详尽了解整个业务的关键。从研究和编写自己的商业计划,我们不仅要亲自计算和研究店里具体相关数据,做预测和分析,为我们的今后可能财务状况做准备。还可以有助于我们自我反省在商业模式的不足和缺陷。而这些使我们能够作出及时的必要调整和改变,有助于我们的业务取得成功。在制定业务计划时,我们也必须研究我们的竞争对手和业内人士普遍。这是一个反射过程,在这过程中,我们深入探讨了如何才能让自己从竞争对手中脱颖而出,在行业中脱颖而出。商业计划书的写作也是重要的合作过程。可以让业务合作伙伴们确定我们集体努力的共同愿景。

定位
定位,定位,定位 – 它的重要性怎么强调也不过分。对于零售和服务为导向的企业,其意义是明显的物理位置。城市的选择,在开始新的业务时是很重要的。这有以下几个原因。首先,城市在创业环境方面有很大差异。不同的数额每年的营业执照费和商业物业费反映了城市吸引经营的企业在其管辖范围内的渴望。例如,我们当然会排除那些限制纹身店,把她们认为是“不受欢迎的业务”的城市。还有些城市可能会严格控制典当行、成人娱乐等项目。
其次,能迅速适应企业的需求的有效率的城市也是另一个重要因素。对于新企业来说,效率在创建过程中产生了巨大的差异。与其他本地小企业的业主和商人的谈话中,我们了解到某些城市需要更长的时间在各种应用程序和文件处理的过程中。此外,也有不同的帮助企业的政策推行。例如,我们选中的某个城市,建筑检查员的工作效率极其低下。城市的选择不仅直接影响着开始一个新的企业预算,也影响事业起航的时间表。

许可证和费用:开创一个新事业需要在加拿大联邦/省级CRA注册。初始登记是一个相当快速且无痛的过程。一个市级的营业执照的获得依赖于你能通过所有必要的检查。

会计:作为一个新的小企业主如果与一个可靠且值得信赖的会计师合作,将会省下好多工作。我们能通过网络找到一个会计,帮助我们设置CRA的营业税,卑斯工作安全局所需要的工作保险,以及协助我们制定的财务和税务规划。

银行:在获得联邦/省企业法人营业执照,可以去银行为这个新的业务建立专门的银行账户,信用卡业务,销售点(POS)机和商业贷款(如有必要)。相对而言,这是一个相当简单的过程,因为银行业的竞争非常激烈。然而,这是一个方面,在选择什么是最好的银行服务上,一个人的努力、研究和准备是不会白费的。

法律事务:这个可以开始做小生意的过程中也是花费很大的方面之一。开始创业总需要与员工签订协议,签订租约。这就建立雇主和雇员之间的法律关系。通常的情况下,法律保护是十分重要的。在我们的例子中,我们利用自己的关系网节省聘请律师的费用。因为该律师恰好是我的纹身的业务合作伙伴的忠诚客户。

准备开业:招聘,建立一个系统的协议和培训新员工的计划,这些是开业前的最后重要准备工作。要想在开业前万事俱备,分毫不出差错也是不可能的,毕竟创业的性质决定了一切都有可能变化。但是一个创业者应该尝试预见一些可能存在的问题并做好预防措施。做好心理和行动上的双重准备。

到目前,我可以自豪地说,我们的商店—黑兔纹身工作室—自2011年7月,已为满足客户创造美好的艺术。一个人不可能预见创业过程中的所有的障碍和挑战,但努力做好充足准备。和其它地方一样,在加拿大创业的经验是艰苦的,但若是充分准备,回报也是可以预见的!

其次,能迅速适应企业的需求的有效率的城市也是另一个重要因素。对于新企业来说,效率在创建过程中产生了巨大的差异。与其他本地小企业的业主和商人的谈话中,我们了解到某些城市需要更长的时间在各种应用程序和文件处理的过程中。此外,也有不同的帮助企业的政策推行。例如,我们选中的某个城市,建筑检查员的工作效率极其低下。城市的选择不仅直接影响着开始一个新的企业预算,也影响事业起航的时间表。

让理想照进现实
当一切都准备好,将会迎来一个高度紧张的时期。所有的一切都只能发生一次。我将在下面的章节中点出这一时期的关键要素。
许可证和费用:开创一个新事业需要在加拿大联邦/省级CRA注册。初始登记是一个相当快速且无痛的过程。一个市级的营业执照的获得依赖于你能通过所有必要的检查。

会计:作为一个新的小企业主如果与一个可靠且值得信赖的会计师合作,将会省下好多工作。我们能通过网络找到一个会计,帮助我们设置CRA的营业税,卑斯工作安全局所需要的工作保险,以及协助我们制定的财务和税务规划。

银行:在获得联邦/省企业法人营业执照,可以去银行为这个新的业务建立专门的银行账户,信用卡业务,销售点(POS)机和商业贷款(如有必要)。相对而言,这是一个相当简单的过程,因为银行业的竞争非常激烈。然而,这是一个方面,在选择什么是最好的银行服务上,一个人的努力、研究和准备是不会白费的。

物理位置:为您的企业寻找理想的位置,重要的是要避免匆忙签订的租赁。还有设立营业地点的银行,税务及其他方面。重要的是要审查房地产,建筑和周围的邻居。多个租户或混合商业及住宅用途的建筑,大楼的管理委员会和规章制度也是重要的影响因素。这时房地产经纪人发挥着重要的作用,有助于淘汰有问题的选址。
装修是创业者典型的最大笔初始投资。装修费用明智的预算是绝对关键的,而且有一个应急基金,晴天防雨天也非常重要。此外,还有个绝对至关重要的地方时必须经历繁琐的检查过程。在我们的改造和检查过程中,我们并没有预见纹身店的管道要求的新变化。尽管在履行新的管道要求时有大量的未预期成本,但我们应急基金—6个月的经营成本—在此时有先见之明的派上了用场。通过与核查人员严谨的合作,我们不仅及时通过了所有的检查,也与市委,市政府工作人员建立了良好的关系。

法律事务:这个可以开始做小生意的过程中也是花费很大的方面之一。开始创业总需要与员工签订协议,签订租约。这就建立雇主和雇员之间的法律关系。通常的情况下,法律保护是十分重要的。在我们的例子中,我们利用自己的关系网节省聘请律师的费用。因为该律师恰好是我的纹身的业务合作伙伴的忠诚客户。

准备开业:招聘,建立一个系统的协议和培训新员工的计划,这些是开业前的最后重要准备工作。要想在开业前万事俱备,分毫不出差错也是不可能的,毕竟创业的性质决定了一切都有可能变化。但是一个创业者应该尝试预见一些可能存在的问题并做好预防措施。做好心理和行动上的双重准备。

到目前,我可以自豪地说,我们的商店—黑兔纹身工作室—自2011年7月,已为满足客户创造美好的艺术。一个人不可能预见创业过程中的所有的障碍和挑战,但努力做好充足准备。和其它地方一样,在加拿大创业的经验是艰苦的,但若是充分准备,回报也是可以预见的!
